Data inputs

Action items agreed upon in meetings frequently go undocumented beyond a rushed note-taker's shorthand, or get logged but never followed up on, leading to commitments quietly slipping and the same open items resurfacing meeting after meeting

Manually chasing every attendee for status updates on their assigned items is a tedious task that project coordinators often deprioritize under other work

The agent ingests the meeting transcript or notes after each session, using language extraction to identify statements that constitute commitments, then attributes each to the speaker or named owner and infers a due date from context or applies a default. Extracted items are logged into the connected task tracker, and the agent monitors due dates to send owners reminders ahead of and past the deadline, escalating persistently overdue items to the meeting organizer. Completion status is synced back so the next meeting's agenda automatically reflects open items.

1

Extract Action Items

  • Parse the meeting transcript or notes for commitment language
  • Identify the named owner for each action item
  • Infer a due date from context or apply a default interval
  • Distinguish firm commitments from tentative discussion points
Outcome: A structured list of action items with owners and due dates is extracted from the meeting.
2

Log and Confirm

  • Create tracked task entries in the connected task system
  • Send owners a confirmation of what was captured for their item
  • Allow owners to correct misattributed or misdated items
  • Link each item back to the source meeting for context
Outcome: Action items are logged in the tracker and confirmed accurate by their owners.
3

Remind and Follow Up

  • Send reminders to owners as due dates approach
  • Follow up automatically on items past their due date
  • Allow owners to mark items complete or request a due date extension
  • Escalate persistently overdue items to the meeting organizer
Outcome: Owners are kept accountable through automated, persistent follow-up without manual chasing.
4

Report and Carry Forward

  • Maintain a live status view of all open and completed items
  • Feed unresolved items into the next meeting's agenda automatically
  • Generate a completion-rate summary for the meeting organizer
  • Archive completed items with resolution notes
Outcome: Open items automatically carry forward and completion trends are visible to the organizer.
